USeP Enrollment Evaluation

Assuming you were tapped by the university president to evaluate the new enrollment system implemented this semester, enumerate your observations/comments and suggest possible areas and ways where improvements can be made. Your observations/suggestions should be properly validated with facts and literatures... (You may start with the diagrams posted in the strategic locations of the university)... Why it should have to be three thou words? T_T…since I really don’t know how to react to the present enrolment system… If I were to be appointing to evaluate the enrollment system and if I were going to rate it to 10, I’d rather vote it to five, maybe at most five, four at least since I'm having difficulty in the process this semester. I will jot down my observations and experience during the hour of my enrolment:
• Even though the process is different but the time consumed by a student to finish the enrolment is the same. Students will take at least 2 days to finish it. • I my self experience some slip in the present enrolment system. In my experience, I was waiting for 48 years in the line to the cashier…and when I was there, the cashier told me that the data encoded in my COR is not the same to the data in their computer…So I went back to the system administrator to verify and clarify this mistakes…I’m just glad the cashier told me to just skip taking line…And this slip happens to some of my classmates, which I think natural for a new system but it should be provided some solutions before the enrolment starts. • I’m happy that the new registrar office with at least 4 windows open this semester, but I’m depressed when I observe that only one window is open in almost a day (maybe some windows open 1 hour or 2) but to think all the student are taking the line to the registrar? I could say it’s the same as before...well I think before is better since different colleges have different windows. So far that was all my observations during this enrollment, but honestly I really don’t mind the system as long as I will be enrolled that will be all that matter…lols…
Now for my suggestions I would suggest that they will improve the full accessibility of the new system. They should provide something that will make the encoding easier and safer with fewer mistakes to avoid delays. Now I can’t really pinpoint the deficiency of the current system so I will have to base it on my observation with the flow of the system. If they want to have fast and peaceful enrollment system they should try to advocate people in cashier and registrar to have their full work during enrollment. What I mean, what are the purpose of that windows if it is closed? That will make the entire student in the line annoyed that will lead to uproar. Since I think the reason why there are waste of time in the enrollment because of fewer people who manage the cashier and registrar. As of me I thank God I’m cool headed when I was taking the line to the registrar, because it takes me at least an hour to finally get through, while all my sit mates are all mad because out of four windows only one window is open…and each student could consume at least two minutes to finish. Not counting those who skip the line because of some inquiries and miss understanding. I think they should also make a window that will entertain those people.
Also in the registrar office…you can’t just enter it directly..You should climb your self to the second floor just to go to the groud floor…what a nice strategy they have?!…when they can make the other entrance in the center as the entrance…? That’s why lots of student has been bothered and annoyed with that strategy.
Now with regard to the diagrams posted in the strategic locations of the university, it smells fishy…lols…anyway it is good because there is that diagram who freshmen can follow up the flow of the system…but really I don’t know the exact name of that diagram? Is it a flow chart? or a use case? Or data flow diagram? Well anyway the truth is that I did not notice it until our teacher told us so…lols…I could not react less in the situation, well if I were a freshmen and I will be looking at that diagram…my heart will surely break..lols…I really don’t know why they made that diagram complicated…why they made that diagram in that way, when they can make it something simple to follow…with just arrows and boxes…anyway I could care less since they really intended it for freshmen.
As for me, now that I’m in my fifth year at the University of Southeastern Philippines I’m quite familiar with the enrolment process so I really don’t need a chart or diagram or something. Basically the enrolment process I knew when I was in my first year is in this pattern: 1. Pay all fees. 2. UGTO for my record 3. Since I don’t have a scholarship I have to skip it so the nest thing is to go to my adviser, submit receipts and requirements. 4. List my subjects in the PRF. 5. Verify the PRF to the adviser and to the encoder to secure COR. 6. Pay at the cashier. 7. Submit all necessary stuff and requirements to the registrar. 8. Get your Lib card. Now after the next semester these 8 steps will be followed except for step 2.

COMMDAP




Last July 2, 2009 our class was invited to attend a seminar at the Apo View Hotel. The seminar was led by COMMDAP (Computer Manufacturers, Distributors and Dealers Association of the Philippines) and introduced some features they have. Since we are having some reflections about the seminar, hence we are oblige to go for it.


Me and my friends arrive at exactly 1:00pm at the venue, and got our student sticker serve as an entrance. We made a tour at the place for a while and we found some of our classmates going to the comfort room. So I and my company followed them in the comfort room and amaze by the entrance of the seminar room. We fill up some papers as an attendance of participation and we went in to the seminar room.


The seminar started 1:30pm and was divided and categorized. The first presenter was the JSI (Jupiter Systems Inc.) well as for me its quite boring because it’s all about purchasing a car which I’m not really interested. They have presented some of the benefits they offer and other stuff. They also presented their current software which for me and my classmates it’s quite confusing but we didn’t bother to ask for it. The presentation last for an hour.



The next presenter was the HP thin client, we find the presentation fun because we can relate through it. The presentation is all about the benefits of the thin clients and its features. Basically it is a really good to have this thin client because it conducted green IT by reducing energy consumptions and portability. I could suggest we should conduct or apply this technology since it will surely lessen our paying bills in electricity. As the presenter shows us some of the schools who apply the thin client, they provide convenience to the user. Thus it cost only 30,000php I think it’s pretty expensive but to think of a long term plan it could help us because it lessens the electric consumption by 50% or less compare to desktop. The only thing we are concern is that it is server dependent, although we can use it as a personal desktop, but it is really intended with server base company.


After the presentation, the presenter provides some questions with regard to his lecture. The question is really simple and is multiple choices. The prices are so much for such a simple questions, sadly I didn’t have a chance to be called…I was sorry because of the prices…anyway I’m happy because some of my classmate won it…to make mention Kristine won a laptop mouse and she’s really happy because she’s longing for it, and Marvin won a 2G USB. Well although I’m not included I’m still happy for them. The exhibition of thin client lasted for almost two hours.


After the thin client I and my classmates leave the room to feel some air and to view some of the exhibitions outside the seminar room. There are lots of things that amazes me there including the Desktop intended for gaming called GTX1 for me this is the most highlight item I saw since I’m a gamer…I’m astonished of the inside construction of the pc…I could hope for such thing for me in the future.

There is still one presenter left at the room when we leave but we decided not to go back at the seminar since we are exhausted and bored. Well this is experience is fun because of the things we know, but really quite boring as the time goes, but I could say it depends on the topic and how the presenter delivers his presentation. As for the first presenter we are bored but the second one got our attention. We are planning to participate again to some seminars.
